Purpose
This procedure establishes the mandatory, step-by-step process for creating and maintaining comprehensive technical documentation for high-risk AI systems in compliance with Article 11 and Annex IV of the EU AI Act. It ensures that all required documentation is complete, accurate, continuously updated, and readily available for inspection by competent authorities and use by deployers throughout the AI system's 10-year retention period.
Applies To
- All AI systems classified as high-risk per Article 6 and Annex III of the EU AI Act
- General-purpose AI (GPAI) models subject to Annex XI and XII requirements
- AI systems undergoing substantial modifications requiring re-documentation
- The creation of initial technical documentation and all subsequent updates
- The maintenance, retention, and archival of technical documentation throughout the system lifecycle and 10-year post-market retention period
Does Not Apply To
- Technical documentation for non-high-risk AI systems (though these principles are recommended as best practice)
- General-purpose AI models with systemic risk (covered by enhanced GPAI procedures)
